POSITION DESCRIPTION
MUSKINGUM COUNTY COMMUNITY FOUNDATION

CLASSIFICATION TITLE: Administrative/Financial Assistant

The Muskingum County Community Foundation is seeking an Administrative/Financial Assistant to join our staff. This individual will be the first person people see as they interact with the Foundation and the Scholarship Central program. The ideal candidate will be able to handle multiple duties as the MCCF receptionist, administrative assistant to the CEO as well as work directly with the COO to handle detailed financial matters related to the Foundation’s many funds and programs. An appropriate combination of education, training, course work and experience may qualify an applicant to demonstrate required knowledge, skills, and abilities.

Minimum qualifications for this position are: Associates Degree in accounting, business management, communications or similar field. Knowledge of budget management, mathematical principles, accounts payable and receivable, computer operations and software. In addition to the minimum qualifications, the ability to work independently, organize data, perform detailed work with numerical data, maintain confidentiality of confidential and sensitive subject matter, develop and maintain effective working relationships with co-workers, donors, vendors, the Board of Trustees, grantors, and the general public is needed.

Specific duties Include:

Financial: Prepares financial reports associated with any grants MCCF receives. Obtains data from financial systems to prepare such reports, or may create and maintain spreadsheets or files to track such data. Responsible for creating, updating, maintaining and submitting such reports to the grantor as specified in the grant agreement(s). Present financial or match related information to the grantor upon request. Enters bills into financial software system, scans invoices into the financial software system for historical and record-keeping purposes. Enters deposits as items are received. Files grant and other financial information on a regular basis (at least weekly) in accordance with record retention policy. Maintains confidentiality of all donor records, financial data, fund files, or any other non-public information.

Reception Duties: Greet visitors appropriately, determine visitor needs in a professional manner, offer refreshments to visitors where appropriate, direct visitors to correct person, ensure back up when absent from reception desk.

Answer Phone Calls: answer and address incoming phone calls in a timely and polite manner, clearly determine the purpose of the call, deal with queries and provide correct information, forward calls to appropriate person, take and deliver messages accurately and completely

Manage Mail: sort and distribute incoming mail, prepare outgoing mail for pick-up or courier, organize courier deliveries
Monitor Security: monitor people coming and going through the office doors, be aware of and report any suspicious activity

Clerical: photocopy and collate documents, fax documents, file documents accurately, maintain equipment and report any malfunctions, monitor, control and order office supplies

Organize Meetings: book meeting room, inform participants, set up meeting room with necessary stationary and equipment, organize catering for meetings

Secretarial Support:prepare correspondence and documents, update databases, organize mailings, prepare and maintain spreadsheets, schedule and follow up on appointments.
